Qualifications
The front office associate should have a minimum of 2-year of experience in dental front office. Oral Surgery experience preferred.
To ensure success, front office associates should be confident and professional with excellent communication and interpersonal skills.
Minimum of 2-year experience in dental/oral surgery required.
Meticulous attention to detail with the ability to multitask
Is trainable to our systems and protocols
Has good insurance knowledge and experience with accepting copays and out of pocket amounts due.
Responsibilities
Greet and attend to patients in person and over the phone
Professionally assist doctors, staff, visitors, and patients, as needed
▪ Ensures new patient forms completed 48 hours prior to appointment (or arrive 30 minutes prior to appointment)
▪ Ensure patients pay for surgery 48 hours in advance
▪ Greet patients in a pleasant and professional manner and appearance
▪ Register new patients and provide necessary forms (know correct forms pertaining to appointment type); assist patients in completion of forms as needed
▪ Enter new patient data and insurance into computer
▪ Collect pre-payments
▪ Check accounts balances of patients coming in. Notify doctor’s Check-out Assistant of any monies due
▪ Update patient addresses, telephone numbers, insurance information, etc. as needed – ASK patient if there have been any changes
▪ Alert appropriate staff of patient arrivals, update computer location status
▪ Answer phone – check messages and emails 4 times daily
▪ Keep staff and doctor informed of next available opening; time allotted for emergency patients, possible no shows
▪ Schedule appointments and detail procedure and time needed for non-specified doctors
▪ Call any patients that are 10 minutes late to determine their status and inform the clinical staff
▪ Reschedule late patients and any no-shows that occur during the day
▪ Keep patients informed of expected waiting time if the doctor is behind schedule
▪ Record and charge broken appointments and last-minute cancellations in patient’s chart and on patient’s ledger
▪ The reception area lends a strong first impression. Keep it looking comfortable, neat and cheerful
▪ Organize the day’s charts; include a copy of the schedule and place in designated spots
▪ Print and work the unscheduled treatment report as needed. Schedule patients who need follow up appointments or have not scheduled procedures.
▪ Work with texting software (currently Intiveo) to confirm appointments, send reminders and follow up with survey results.
▪ Assist with patient records
▪ Confirmation protocols followed through with daily
▪ Adhere to all safety and health regulations
